Parcel preparation and safer handovers: a practical checklist

A useful delivery check starts with three things: what is being sent, where it needs to go and who is authorised to receive it. Clear information and careful handovers help everyone work from the same details. Use this checklist to prepare a parcel and coordinate its collection, while following the requirements displayed for your particular delivery.

Describe the parcel before arranging transport

Give an accurate description of the contents, value, condition, weight and dimensions, along with any special handling information. Complete the fields requested in the delivery form. If you add a photo, choose one that helps explain the parcel as it actually is. A photo supports the description; it does not replace accurate measurements or declarations.

Check any uncertainty before submitting. A category in a form does not establish that every item within it is permitted. Read the applicable Terms of Service and ask Support about unclear contents, size or handling requirements. Do not assume a quote confirms that an item can lawfully travel on the proposed route.

Treat packaging as a preparation check

Before handover, check whether the packaging is suitable for the contents and their declared condition. As a practical precaution, look for visible damage or anything that could allow the contents to move or escape. If you are uncertain about the packaging or a special handling need, ask for clarification before presenting the parcel.

Follow any packaging requirements provided for the delivery. This checklist is general preparation advice, not an ikWik packaging specification or a promise that a parcel will be accepted. An authorised origin agent may inspect a parcel and accept or reject it through the relevant workflow. Describe any issue honestly rather than relying on the outside appearance alone.

Check the map and the receiver’s details

Review both location pins, even when you have searched for an address. A familiar place name is not enough if the pin is in the wrong position. Confirm the selected pickup and destination directly on the map and resolve any mismatch before arranging the handover.

Check the receiver’s name and phone number as carefully as the locations. A clear delivery request gives the authorised participants a consistent starting point for coordination. Availability still depends on the route, eligible participants, capacity and acceptance. A chosen destination or proposed route does not guarantee a match, cross-border availability or a delivery date.

Share the tracking link privately

The sender can share a private tracking link with the intended receiver, who can open it without an account. Treat that link as delivery information for that person. Avoid publishing it in a public post or distributing it to people who do not need to follow the delivery.

Use the delivery conversation to coordinate with authorised participants. Keep account information separate from practical delivery details. Never send passwords, sign-in verification codes, PINs, full card details or identity documents through ordinary chat or email. If identity verification is required, follow the secure process provided in the app.

Read tracking as a record of confirmed events

Tracking shows confirmed statuses and timeline events. It may display collection details or a handover prompt when the delivery reaches the right stage. It does not provide continuous GPS tracking, and a new status does not guarantee an arrival time.

Email and push notifications can help you follow updates, but their availability depends on account settings and device permissions. If notifications are disabled or unavailable, check the delivery page. If the status leaves an important question unresolved, contact Support with the reference rather than assuming a transfer has happened.

Keep the collection code for the physical handover

The receiver QR/code belongs to the collection step. Keep it private until the appropriate stage, then show it only to the authorised carrier or pickup-point agent while physically receiving the parcel. Follow the instructions shown for that delivery.

Do not confirm a handover before it happens. If the code is missing, inaccessible or not working, contact Support instead of bypassing verification. The same principle applies if the receiver is unavailable: a planned collection is not a completed one, and the next action needs to follow the authorised process.

Report problems with useful evidence

If a parcel is delayed, damaged, lost or refused, contact Support promptly. Include the delivery reference, what happened and relevant photos or messages. Recorded handovers may assist review, but do not establish insurance or guarantee a refund or compensation. Any separate protection expressly offered would have its own terms.
