Pickup points: a practical guide to recorded handovers

A pickup point can connect different stages of a parcel’s journey. Where the option is available, an authorised agent receives, checks and hands over parcels through the steps recorded in ikWik. For senders and receivers, understanding that role makes it easier to prepare for a visit. For agents, it keeps attention on the parcel, the authorised participant and the action required at each stage.

Confirm the point and the route before making plans

A delivery may travel directly with an assigned carrier or pass through authorised pickup points with one or more carrier legs. The available route depends on active points, eligible participants, capacity and acceptance. A point near you does not establish that every destination can be reached from it.

Check the delivery instructions and availability in the app before arranging a drop-off or collection. Use the point assigned to the delivery. If the location or next step is unclear, ask ikWik Support rather than choosing a different meeting place or arranging an unrecorded transfer.

An agent role needs an authorised assignment

Agent enrolment requires an active account, a verified email address and verified identity. An eligible user can add the agent role, but an administrator must then assign that person to an authorised point before they can handle parcels there.

Keep the distinction clear when preparing to take on this role: adding it to an account does not create a pickup point or give authority over any parcel. Work within your assignment and the actions displayed for the delivery. Ask Support if your assignment or access does not match the point where you expect to work.

Manage new work and existing custody separately

An assigned agent can mark their point available for new work. This setting helps indicate whether the point can receive new activity. Turning availability off does not remove the responsibilities attached to parcels already being handled.

Before changing availability, review the deliveries already in your care and their next recorded steps. If you cannot carry out an existing responsibility, contact Support with the relevant delivery reference. Do not treat a change in availability as a completed handover, a cancellation or permission to pass the parcel to someone else.

Register and inspect the parcel at the origin

For an eligible paid route, an authorised origin agent can register and inspect the parcel, record the evidence requested by the workflow, and accept or reject it as appropriate. The checks relate to the actual parcel being presented, so the delivery details and the physical handover need to agree.

Follow the instructions shown for that stage, including any requested photos or confirmation. Acceptance is not automatic for every parcel. If the parcel or its description raises a question, resolve it through the available workflow and Support rather than confirming a step simply to move the delivery forward.

Record the transfer when it physically happens

At an authorised transfer, the agent uses the relevant QR/code, verifies the physical handover and confirms the action. The next step depends on the assigned route and delivery stage. Follow those instructions rather than substituting an informal transfer between carriers.

At the destination point, an authorised agent may receive and hold the parcel until release to the receiver is authorised. Keep the parcel’s actual situation aligned with the recorded step. A handover must not be marked complete before it has happened, even if the people involved expect to finish it shortly.

Help the receiver collect at the right stage

A receiver does not need an account to open the private tracking link shared by the sender. The page shows confirmed updates and may display collection instructions when the delivery reaches the relevant stage. These events do not provide continuous GPS tracking or guarantee an arrival time.

The receiver should keep the link and collection QR/code private. They present the code only to the authorised agent or carrier while physically receiving the parcel. If the code is missing or fails, or the receiver cannot collect, contact Support instead of bypassing verification.

When something needs review

For a refused, damaged, delayed or missing parcel, provide Support with the delivery reference, a clear description and relevant photos or messages. Recorded inspections and handovers can assist review, but do not guarantee compensation or a particular outcome.

For more detail, read the English FAQ. Check the instructions for your delivery through ikwik.app and use in-app Support when the next authorised step is unclear.
